Microsoft Dynamics CRM 2013 : New Forms

In Microsoft Dynamics CRM, for all the entities (except Appointment), it's possible to manage multiple forms.
For example, you have a form for the administrator, with technical fields and you have an other form for the user, with process fields.

Form creation

To create a new form for an entity, go to Settings / Customization / Customize the system / Select your entity / Form :

To add a new form, click on "New", you have different options :
  • Main form: This the form for the web navigation
  • Mobile form: For mobile device like tablet or mobile phone
  • Quick View form: It's a form placed on an other entity form. Example : A contact form (3/4 fields) on the account main form (Have a small resume)
  • Quick Create form:  Form for a New functionnality of CRM 2013, have a few fields to create quickly a record
For the main form, you have to choose a default form. When the user will open a record for this entity, it will be the default form.

A very important option to manage is the security access. As I wrote in this post, you can have a form for administrators and one for users. To seperate the different access, select your form and click on "Enable security roles":

By default, all the security roles have access to the form, but you can select a few of them by selecting them one by one.
If you check the option "Enable for feedback", it will be the default form if an user with a specific security role has no access to any form.

Modify the form

To open the customization of the form, double click on the form in the list. A new interface will open :
In the ribbon, the "Select" (Yellow) section permits you to manage the different part of the form :
  • Body: Manage Tab / Section and fields, web ressources, etc... You are free to choose the fields position, etc...
  • Header: Add specifc fields in the top of your form
  • Footer: Add specific field at the bottom of the form
  • Navigation: Permit to manage the left navigation, you can delete / add relation (1:N), add link to access an url for example.
If you select "Body" (Blue), you can add/modify/delete fields of the form.
Note: You are not deleting the field, you just remove it from the form.
You can add :
  • Tab: Contain section, fields, subrid, etc...
  • Section: Contain fields
  • Subgrid: A list of an entoty with a relation 1:N. You have to choose a default view. It permits to see all the contact for an account for example.
  • Web ressources: Add web ressource in your form. Example: The social pane

To add field to the form (Red), You to drage and drop the field. You can add a field a several time. (Uncheck the option "Only show unused fields").

When you finish your work, don't forget to Save and Publish.

In a futur post, I will explain how to manage Tab / section and Subgrid !

Hope this post helps you ! :)
